How To Choose a Web Design Company for Your Private Practice

Table of Contents

If you’ve ever typed “how to choose a web design company” into Google, you probably found yourself scrolling through dozens of agencies promising the same things, like beautiful design, seamless functionality, websites that convert, yada yada yada.

And if you’re a therapist, dietitian, or wellness clinician who’s never hired a web designer before, it’s easy to look at all of that and think, “Okay… but how do I actually know which one is right for me?”

You see, your website is often the very first impression a potential client has of your practice. It’s where they decide whether they trust you, whether you “get” them, and whether they’ll click that “Book a Consultation” button.

So choosing the right web design company isn’t just a design decision – it’s a business decision!

The good news is that you don’t have to be any kind of design expert to make the right choice for your private practice! You just need to know the right questions to ask.

Here at Studio Adagio, we’ve worked with private practice clinicians of all kinds and we’ve heard lots of different questions along the way, so in this blog post, we’re sharing the 5 questions we believe every clinician should ask before signing with a web design company, plus how we answer them ourselves!

5 Questions To Ask Before Choosing a Web Design Company

What does your web design process actually look like?

This is one of the most important questions you can ask when choosing a web design company and the answer you get will tell you a lot.

A strong web design company should be able to walk you through their process step by step with specifics! You don’t want someone who says “we’ll design you a beautiful website” and leave the rest a mystery –  you want specifics.

Listen for things like:

✔️ How the project kicks off and what information they’ll need from you

✔️ When you’ll see your first design (and in what format)

✔️ How many rounds of revisions are included

✔️ When SEO is implemented

✔️ What happens at launch and after

If a company can’t clearly explain what happens week to week, that’s a sign the process might feel just as unclear once you’re in it.

Here’s a peek at what our web design process here at Studio Adagio looks like:

Every website project starts with a questionnaire that helps us learn who your ideal client is and how they search for you, which websites you love (and which you don’t), the visual direction you’re drawn to through a Pinterest board, the pages and functionality you need, and any branding you already have.

From there, your project follows one of two paths:

1️⃣ VIP Website Day – with this service option, your entire website is designed and developed in a single business day.

Before your day even begins, our team has already built wireframes and mockups of your site and set up “shell” pieces like your header, footer, and logo placement.

On the day itself, we develop directly onto a staging site, send you the full clickable website (desktop and mobile) for review, then implement your revisions, SEO, page speed testing, and Google Search Console and Analytics setup.

By the end of the day, you’ll get your “website is live” email along with launch graphics to celebrate!

2️⃣ Custom Website Design (3-4 weeks) – this phased option is for practices needing up to 10 pages and a bit more time for creative direction.

Within about a week, you’ll receive your homepage wireframe to confirm the layout, colors, and overall vibe. After a round of revisions and your approval, we move into development.

Within one to one and a half weeks, your full website is ready for review on a staging site. We complete another round of revisions, finalize SEO, connect your analytics, and then launch!

How involved will I be in the process?

Some clinicians want to weigh in on every color choice, while others would rather hand everything off and see the finished product. Neither is wrong, but you’ll want a web design company whose level of collaboration matches what you’re looking for!

To choose the one that best fits what you’re looking for, ask things like:

✔️ How much time will I need to set aside for feedback?

✔️ Will I need to write my own website copy?

✔️ How do we communicate throughout the project?

✔️ What do you need from me before we can start?

When you work with Studio Adagio for your website design, your biggest time investment happens up front, in the questionnaire. After that, your involvement depends on the service you choose.

With VIP Day, you’ll typically have about an hour to review your site and send feedback and with our Custom Website Design, you’ll review your homepage wireframe, then your full website (usually with around four days to send feedback), and then a final review before launch.

Overall, a good web design company should make your involvement feel purposeful, not like a second job on top of running your practice!

Do you specialize in small businesses like mine?

A web design company that works with everyone from e-commerce brands to law firms may be talented, but they may not understand the unique needs of a private practice.

Private practice websites have their own considerations that need to be taken into account! For example, your ideal clients are often searching during vulnerable moments, so your site needs to feel calm, trustworthy, and easy to navigate.

It also needs to clearly communicate your specialties, connect to your scheduler, and show up in local search results when someone looks for a therapist or dietitian in your area.

So when you’re trying to choose the right web design company for your private practice, look for:

✔️ A portfolio that includes practices similar to yours

✔️ Case studies with real results

✔️ Familiarity with the platforms, schedulers, and tools clinicians commonly use

✔️ An understanding of how your ideal clients search for care

Studio Adagio works exclusively with private practice clinicians, including therapists, dietitians, nutritionists, and wellness professionals and you can browse our portfolio to see the kinds of practices we’ve helped bring to life online!

Are your web design services custom or do you work from a template?

This question matters more than many clinicians realize. Some web design companies advertise “custom” websites that are really pre-made templates with your logo and colors swapped in. There’s nothing inherently wrong with website templates, but you deserve to know what you’re paying for.

A truly custom website is designed around your ideal client, your brand, and your SEO goals from the ground up, rather than being forced into the limitations of someone else’s layout.

We break down the pros and cons in more detail HERE!

Before deciding on your web design company, be sure to ask them things like:

✔️ Will my site be designed from scratch or built from a template?

✔️ Will my site look similar to other clients’ websites?

✔️ Can the site grow with my practice as I add services, clinicians, or offerings?

Here at Studio Adagio, we offer TRULY fully custom website design, whether it’s built in a single VIP Day or over our 3–4 week process. And if your branding isn’t finalized yet, either service can be paired with a branding project first so your visuals, voice, and website all come together cohesively.

Who does the actual work for my web design project – you, a team, or both?

Lastly, when hiring a web design company, it’s fair to want to know who’s actually behind your website.

Is it the person you spoke with on your discovery call? A team of specialists? A contractor you’ll never interact with?

There’s no single “right” answer here, but transparency is key. You want to know who you’ll be communicating with, who’s designing your site, and who’s handling the technical and SEO pieces!

At Studio Adagio, your website is truly a team effort. Our Founder and CEO, Chloe, leads the big-picture brand strategy to make sure every project starts with intention. From there, you’ll be assigned a dedicated designer that brings your site to life from wireframe to launch.

Throughout the web design process, our Studio Manager keeps everything on track, including sending your day-of timeline for VIP Days so you know exactly when to expect updates. And our SEO and copywriting specialist makes sure your site is built to be found by the clients you want to reach!

Having a team with both design and SEO expertise under one roof means you’re never stuck acting as the go-between for your designer and your SEO person.

How To Choose a Web Design Company for Your Private Practice

At the end of the day, knowing how to choose a web design company comes down to finding a team whose process, specialty, and communication style fit where your practice is right now.

The right company won’t just hand you a pretty website – they’ll give you a clear process, a collaborative experience, and a strategic tool that helps your ideal clients find you, trust you, and reach out.

So before you sign on with anyone, ask these five questions:

✔️ What does your web design process actually look like?

✔️ How involved will I be in the process?

✔️ Do you specialize in small businesses like mine?

✔️ Are your web design services custom or do you work from a template?

✔️ Who does the actual work for my web design project?

If the answers leave you feeling confident, clear, and excited, you’ve likely found your match.

At Studio Adagio, we’d love to be that team for you. Whether you’re launching a brand-new practice or are ready for a website that reflects how much you’ve grown, our custom web design services are built specifically for private practice clinicians like you.
